Terms and Conditions

Please read these Terms and Conditions carefully before booking any experience with BE:COLLECTIVE. By submitting a deposit, completing a purchase, or registering for any program, you confirm that you have read, understood, and agreed to these terms in full.

1. About BE:COLLECTIVE

BE:COLLECTIVE is operated by Jen Rubinetti and Joanna Rajendran.

BE:COLLECTIVE offers luxury wellness retreats, virtual wellness programs, corporate wellness experiences, VIP add-on days, and bespoke group retreats. These Terms and Conditions apply to all experiences offered through becollectiveglobal.com.

2. Eligibility

All BE:COLLECTIVE signature retreats and women’s programs are designed for adults aged 18 and over. By booking, you confirm that you meet this age requirement.

Corporate wellness programs, keynote bookings, and executive offsites are open to organizations regardless of gender. Specific eligibility criteria for bespoke programs will be confirmed at the time of inquiry.

3. Bookings and Deposits

Signature Retreats (Costa Rica and Italy)

All retreat reservations require a non-refundable deposit to secure your place:

  • Costa Rica 2026 — $1,500 USD non-refundable deposit per person
  • Italy 2026 — 50% of the total retreat price non-refundable deposit per person

Submitting your deposit constitutes a binding agreement between you and BE:COLLECTIVE. Your deposit confirms your participation and removes your spot from availability for other guests.

Room Selection

Your deposit secures your room type preference. Final room designation will be confirmed closer to the retreat date. While we do our best to honor your preference, room assignments are subject to availability and may be adjusted as needed.

Remaining Balance

The remaining balance will be billed after your deposit is processed. Please note that final balances for international retreats are subject to the daily currency conversion rate at the time of billing. BE:COLLECTIVE is not responsible for fluctuations in exchange rates.

At Home Series

The At Home Series (virtual wellness sessions) requires full payment at the time of purchase. Pricing is as displayed at checkout.

VIP Experience

Pricing and availability for the VIP add-on day are shared privately during a discovery call. Booking terms will be confirmed in writing at that time.

Bespoke and Corporate Programs

Custom retreat and corporate wellness bookings are governed by a separate agreement provided at the time of inquiry, which supplements these Terms and Conditions.

4. Travel Insurance

Travel insurance is mandatory for all retreat participants.

You are required to purchase a Cancel for Any Reason (CFAR) travel insurance policy that covers the full retreat dates. This insurance must be purchased within 14 days of submitting your deposit to ensure full coverage eligibility.

BE:COLLECTIVE is not responsible for cancellations, interruptions, delays, medical situations, or any travel-related issues. We strongly recommend that your policy also covers medical emergencies, evacuation, and trip interruption.

By submitting your deposit, you acknowledge and accept this requirement.

5. Cancellations by Participants

Signature Retreats

All deposits are non-refundable under all circumstances, including personal emergencies, illness, family situations, or inability to travel.

If you need to cancel your retreat participation after paying your deposit:

  • Your deposit will not be returned
  • Any portion of the balance already paid beyond the deposit may be eligible for partial credit toward a future BE:COLLECTIVE experience at our discretion, depending on how far in advance the cancellation is made
  • Cancellations must be submitted in writing to becollectiveglobal@gmail.com

We strongly encourage you to purchase CFAR travel insurance to protect yourself against any situation that may prevent you from attending.

Transfers

You may request to transfer your reservation to another eligible participant. Transfer requests must be submitted in writing no later than 45 days before the retreat start date and are subject to approval by BE:COLLECTIVE. Administrative transfer fees may apply.

At Home Series

Virtual session purchases are non-refundable once a session has been delivered. If you are unable to attend a live session, please contact us in advance to discuss your options.

6. Cancellations or Changes by BE:COLLECTIVE

In the unlikely event that BE:COLLECTIVE needs to cancel a retreat due to circumstances beyond our control (including but not limited to natural disasters, government travel restrictions, venue closure, or force majeure events):

  • You will be notified as soon as possible
  • You will be offered a full credit toward a future BE:COLLECTIVE retreat of equal or greater value, or a refund of any amounts paid beyond the non-refundable deposit
  • BE:COLLECTIVE is not responsible for any additional costs you may have incurred, including non-refundable flights, accommodation outside the retreat, or other travel expenses. This is why travel insurance is required.

BE:COLLECTIVE reserves the right to make changes to retreat programming, facilitators, schedules, or venues where necessary, provided the overall experience remains of equivalent quality and purpose.

7. Health and Participation

You are responsible for ensuring that you are in suitable physical and mental health to participate in retreat activities. BE:COLLECTIVE retreat experiences include physical activities such as yoga, somatic movement, breathwork, hiking, and cultural excursions.

By booking, you confirm that:

  • You are physically capable of participating in the activities included in your chosen retreat
  • You have disclosed any relevant health conditions, dietary restrictions, or limitations in your booking form
  • You take full responsibility for your personal health and wellbeing during the retreat
  • You will consult a qualified medical professional before attending if you have any concerns about your ability to participate

BE:COLLECTIVE reserves the right to ask a participant to refrain from specific activities if participation poses a risk to themselves or others.

8. Assumption of Risk and Liability

Retreat experiences take place in natural and international environments that carry inherent risks, including outdoor settings, jungle terrain, swimming facilities, and cultural excursions. By booking a retreat, you acknowledge and voluntarily accept these risks.

To the fullest extent permitted by law, BE:COLLECTIVE, Jen Rubinetti, and Joanna Rajendran are not liable for:

  • Personal injury, illness, or death
  • Loss or damage to personal property
  • Any third-party acts or omissions (including venue staff, transport providers, or excursion guides)
  • Circumstances beyond our reasonable control

Nothing in these terms limits liability for gross negligence or willful misconduct.

9. Code of Conduct

BE:COLLECTIVE creates a space of safety, respect, and transformation. All participants are expected to:

  • Treat all other participants, facilitators, and staff with kindness and respect
  • Honor the privacy and confidentiality of fellow participants
  • Refrain from disruptive, aggressive, or disrespectful behavior of any kind
  • Respect the sacred nature of ceremonies, healing sessions, and group experiences

BE:COLLECTIVE reserves the right to remove any participant from a retreat without refund if their behavior is deemed harmful, disrespectful, or disruptive to the experience of others.

10. Photography and Content

BE:COLLECTIVE may capture photos and video during retreat experiences for use in marketing, social media, and promotional materials. By attending a retreat, you consent to being photographed or filmed in group settings.

If you do not wish to appear in any promotional content, please notify us in writing before the retreat begins at becollectiveglobal@gmail.com. We will make every effort to respect your request.

You may take personal photos and videos during the retreat for your own use. Please be mindful of fellow participants and always ask for consent before sharing any content that includes other guests.

11. Intellectual Property

All content on becollectiveglobal.com, including written materials, retreat frameworks, methodology, imagery, logos, and program content — including the F.O.C.U.S. Method, the Four Pillars of Transformation, and all BE:COLLECTIVE programming — is the intellectual property of BE:COLLECTIVE, Jen Rubinetti, and Joanna Rajendran.

You may not reproduce, distribute, publish, or commercially use any of this content without prior written permission.

12. Confidentiality

Retreat experiences are confidential spaces. You agree not to disclose, share, or publish any personal information shared by other participants during sessions, workshops, ceremonies, or group conversations without their explicit consent.

13. Third-Party Services

BE:COLLECTIVE uses third-party platforms including Calendly, WooCommerce, and retreat venue partners. Your use of those platforms is subject to their own terms and conditions. BE:COLLECTIVE is not responsible for the conduct or performance of third-party providers.

14. Governing Law

These Terms and Conditions are governed by and construed in accordance with the laws of the United States. Any disputes arising from these terms shall be resolved through good-faith negotiation in the first instance, and if unresolved, through binding arbitration or in a court of competent jurisdiction.

15. Modifications to These Terms

BE:COLLECTIVE reserves the right to update these Terms and Conditions at any time. Updates will be posted on this page with a revised “Last Updated” date. Bookings made before any update remain governed by the terms in effect at the time of booking.
