Return and Refund Policy

BE:COLLECTIVE is committed to delivering transformative, high-quality retreat and wellness experiences. Because of the nature of our offerings — including physical venue reservations, retreat logistics, limited-capacity experiences, and digital content — our refund policy reflects the real costs and commitments involved in delivering every BE:COLLECTIVE experience.

Please read this policy carefully before making any purchase or booking.

1. General Overview

BE:COLLECTIVE offers the following types of experiences, each with its own specific refund terms:

  • Signature Retreats (Costa Rica and Italy)
  • VIP Experience (add-on day before signature retreats)
  • At Home Series (virtual wellness sessions)
  • Bespoke and Corporate Programs

2. Signature Retreats

Costa Rica 2026 — Imiloa Institute | August 2–7, 2026

Deposit: $1,500 USD per person

Refund policy for deposit: The $1,500 deposit is strictly non-refundable under all circumstances. This includes but is not limited to: personal emergencies, illness, scheduling conflicts, changes in personal circumstances, inability to obtain a travel visa, or any other reason.

Balance payments: The remaining balance after the deposit is billed separately. Balances are subject to the daily currency conversion rate at the time of billing. Once paid, balance payments are non-refundable.

In the event of cancellation by the participant: No refund will be issued on the deposit or any portion of the balance. Participants who have purchased CFAR (Cancel for Any Reason) travel insurance may be eligible to recover costs through their insurance provider.

Italy 2026 — Podere Macchione, Tuscany | October 9–15, 2026

Deposit: 50% of total retreat price per person

Refund policy for deposit: The 50% deposit is strictly non-refundable under all circumstances, for the same reasons outlined above.

Balance payments: The remaining 50% balance is non-refundable once paid.

Why Deposits Are Non-Refundable

Retreat venues, private charter flights, chef and staff arrangements, accommodation blocks, and activity logistics are all booked and confirmed on your behalf from the moment you reserve your place. These commitments incur real, non-recoverable costs. Your deposit directly covers a portion of these arrangements, which is why it cannot be refunded regardless of circumstances.

This is exactly why we require all participants to purchase Cancel for Any Reason (CFAR) travel insurance within 14 days of their deposit. CFAR insurance exists to protect you in situations where you need to cancel for any personal reason. Please do not skip this step.

Reservation Transfers

You may request to transfer your reservation to another eligible participant at least 45 days before the retreat start date. Transfer requests must be submitted in writing to becollectiveglobal@gmail.com and are subject to BE:COLLECTIVE’s approval. An administrative fee may apply.

Transfers requested fewer than 45 days before the retreat start date cannot be accommodated.

If BE:COLLECTIVE Cancels a Retreat

In the rare event that BE:COLLECTIVE cancels a retreat due to circumstances beyond our control (force majeure, natural disaster, government restrictions, venue closure, or similar):

  • Participants will receive a full credit toward a future BE:COLLECTIVE retreat of equal or greater value, valid for 24 months
  • Alternatively, a refund of any balance paid beyond the non-refundable deposit will be issued within 30 business days
  • The deposit remains non-refundable even in the event of a BE:COLLECTIVE cancellation, as it covers non-recoverable third-party costs already incurred

BE:COLLECTIVE is not liable for any additional costs participants may have incurred independently, including flights, pre- or post-retreat accommodation, or personal travel expenses. This is another reason why CFAR travel insurance is mandatory.

3. VIP Experience

The VIP Experience is an exclusive add-on day available before each signature retreat, offered to a very limited number of participants.

VIP Experience payments are non-refundable in all circumstances, consistent with the deposit policy for the corresponding signature retreat.

If you are unable to attend the VIP day but are still attending the main retreat, please notify us as early as possible. Credit or transfer may be considered at BE:COLLECTIVE’s sole discretion.

4. At Home Series (Virtual Wellness Sessions)

Pricing: $33 per drop-in session | Quarterly 3-Part Series pricing as displayed at checkout

Refund Policy for Virtual Sessions

Before a session has been delivered: If you have purchased a session and need to cancel at least 48 hours before the scheduled session, please contact us at becollectiveglobal@gmail.com. A credit toward a future At Home Series session may be issued at our discretion.

After a session has been delivered: Once a session has taken place, no refund will be issued. This applies to both drop-in sessions and series packages.

Quarterly 3-Part Series: If you have purchased the 3-part series and wish to cancel after attending one or more sessions, refunds will not be issued for sessions already delivered. If you have not yet attended any sessions, please contact us within 48 hours of purchase to request a cancellation.

No-shows: Sessions missed without prior notice are not eligible for a refund or reschedule.

5. Bespoke Retreats and Corporate Wellness Programs

Refund terms for custom bespoke retreats and corporate wellness experiences are outlined in the individual service agreement provided at the time of booking. These terms will vary depending on the scope, timing, and logistics of the program.

In the absence of a specific agreement, the general policy of non-refundable deposits applies.

6. Travel Insurance — Mandatory for All Retreat Participants

We want to be clear: travel insurance is not optional. It is a requirement for every person attending a BE:COLLECTIVE signature retreat.

You must purchase a Cancel for Any Reason (CFAR) policy that covers your full retreat dates within 14 days of paying your deposit. Waiting beyond 14 days typically disqualifies you from CFAR coverage under most insurance providers.

By submitting your deposit, you acknowledge that you understand and accept this requirement. BE:COLLECTIVE is not responsible for any losses arising from failure to purchase adequate travel insurance.

7. How to Request a Refund or Raise a Concern

All refund requests, cancellations, and transfer inquiries must be submitted in writing to:

  • The retreat or program you booked
  • Your booking date and deposit amount
  • The reason for your request

We respond to all inquiries within 3 business days. While we are not always able to issue refunds beyond the terms above, we are committed to handling every request with care and fairness.
